Exhibitor FAQs
Where is Magereza Ground – and can I find a proper parking there?
Please just follow the signs to KARIBU-KILIFAIR from the main roads and/or to Arusha airport junction. Magereza Ground is located next to Arusha Airport and opposite to UWC International School. Plenty of parking is available right near the fair entrance.
When are the Set up & Turn down dates?
Please find all set up information once again in the attached A-Z form (General information list). NOTE: Set up is only Tuesday, June 2nd and Wednesday, June 3rd – there is strictly NO “last minute” admission with goods & display materials on Friday, June 7th as entrances will be closed for goods!
- During Set up (Tuesday & Wednesday) gates A, B, C, D and F (see attached plan) can be used to enter with Mkokoteni’s/handcarts only. Please note that trucks can only access the ground up to Tuesday, June 3rd from 8am to 5pm with special pre-permission (from the Organizer) and as far as the weather conditions allow. From Wednesday morning, all entrances strictly allow walk-ins or Mkokoteni/handcarts only.
- Cars & medium sized pickup cars have to park at the official parking area and offload there display & stand material from there to Mkokoteni’s/handcarts.
- Do NOT extend your stand borders. There is “ZERO Tolerance” to set up beyond booked stand size & borders.
- Turn Down of your stand can start from Sunday, June 9th Strictly from 5pm, when gates will open. Exhibitors leaving their stand earlier or unattended, will be excluded from future KARIBU-KILIFAIR exhibitions. It’s is simply not fair and respectless to present empty stand to our visitors.
Please plan early enough.

How do I get my exhibitor passes & welcome bags?
Once you have arrived at the main KARIBU-KILIFAIR entrance EXHIBITOR Counters, please identify yourself with your company name & stand number. All passes, entry bands & exhibitor welcome bags will be ready for you there! Exhibitor counter is open on Tuesday, June 2nd and Wednesday, June 3rd from 9am to 6pm.
IMPORTANT: Access to KARIBU-KILIFAIR is granted only with your personal wrist band connected to your wrist. These wrist bands will last 4+ days and are waterproof. DO NOT REMOVE THEM ! Damaged wrist bands or Name tags only do not allow entry to the Expo at all.
Why do I need to register ALL names of my staff
Each exhibitor is entitled to receive 4 exhibitor passes for a full Tent and Open space, 3 exhibitor passes for a half/Premium Resort and 2 exhibitor passes for quarter space tent or table. Additional exhibitor passes can be purchased for TSH 30,000 / US$ 15 in cash each at the exhibitor counter. Please make sure to submit your names & company to the organizer before May 25th, 2026. Later PRE-registrations are not possible and will be handled with waiting time at the on-site entrance.
Late registrations won’t enjoy the complimentary service of pre-print name tags – means they need to be handwritten by yourself.
In case you still want us to print your name tags, a printing fee of TSH 10,000 (USD 5,00) will be charge for each print.
Do I have electricity, furniture & decoration on my stand?
Electricity (0,5 kw socket for laptops), 1 table & 2 chairs are provided complimentary for all Tourism, Supplier, Art and Craft stands and 1 round table & 3 on Prime Area. Additional furniture and a 2.5 kw electric socket can be booked as a payable OPTION at the INFO-counters, right next to the Prime Resort tent. Please contact Vito at 0754 200580 if you are not sure you have booked already – or you still need to book.
Decoration & solid stand walls are an OPTION too. Please contact one of our construction partners listed in the attached forms for that service. KILIFAIR is NOT providing any decoration or stand constructions. We are working with registered stand constructers and decoration partners only (see A-Z list).
Decoration & construction companies without prior registration need to register on Main Entry cashiers (decorator window) for TSH 100,000 (4 people) + 50,000 each staff. Please beware of “faked” decorators, AS THEY ARE NOT ALLOWED.
Where can I get my stand fumiture?
Furniture warehouse, located in front of the stage, where all exhibitors have to pick the booked furniture themselves with the pre-filled order form (available together with your name tags @ exhibitors counters). We will provide carry support & Mkokoteni’s, but a physically pick up by the exhibitors is essential to avoid missing furniture in your stand.

How does my stand look like? Is it covered, divided and can I display my own decoration?
All is YES, but please find clear information once again in the attached A-Z document. The tents walls are made from white, flexible PVC. Tape can be used to stick posters on – ropes can be used to hang decoration from the top. Make sure you do not decorate, display or promote your company beyond the stand borders to avoid conflicts with neighbors. We don’t tolerate any extension of the stand borders and faked stand constructors who are NOT appointed by the organizers!

Does my stand have a fascia (company name)?
YES, your company name & stand number is already fixed on the tent when you arrive, based on the pre-booked name ordered on your booking form. Any
name change or correction on-site is subject to USD 10 / TSH 25,000 changing fee

Does KILIFAIR provide security?
YES, we do. We have GARDAWORLD Security as our cooperation partner for 24hrs on site security. We take security most seriously, but nevertheless, we can’t take any responsibility & claims for missing items on your stand. Please book your personal Insight Security watchmen to be 100% safe (info in attached A-Z list).
Does KARIBU-KILIFAIR provide WIFI?
YES, we do. Our reliable Internet partner BLINK is providing free internet service throughout the entire fair ground.
TRAVEL AGENTS / BUYER FAQs
Do you suggest any specific flights?
As our visitors come from all over the world, we are not in a position to suggest any specific flights. Please check the connection that suits you best and use the discount you might take advantage of as travel agent/ airline ticket agent.
Are airport transfers included?
Free airport transfers are not included. However private transfers and shuttles will be available at discounted prices. Please check for availability in your General Information.
Is my accommodation included for the duration of my time in Arusha?
Accommodation is available at a discounted special rate. We are happy to put you in contact with the KKF accommodation partners listed on our General Information page. Particular properties which exhibit at the fair remain available should you wish to make your own arrangements or for extra stays or site visits.
Do I need special luggage?
If you are on a flying safari, or if any transport on your itinerary involves an internal flight, we recommend traveling with a smaller soft bag for your FAM trip. The small aircrafts used for domestic flights in Tanzania have strict luggage (soft bag) allowance of 15kg. Domestic airports do not have traditional luggage storage facilities. We suggest you make arrangements with your Arusha hotel to keep your suitcase.
Who will meet me on arrival?
JRO (Kilimanjaro International Airport) will be manned by a representative of the KKF team. Please look for the KARIBU/KILIFAIR Desk inside arrivals during normal working hours. Should your flight arrive in the middle of the night, please proceed out of the terminal and look for your transfer displaying your name to be taken directly to your hotel if you booked before arriving!
How will I get to and from the expo?
Over the duration of the expo in Arusha, transfers are included to and from the Magereza Ground where the event will be held.
Do I need any vaccination?
All travelers entering Tanzania require a yellow fever vaccination. Please obtain this from your local travel clinic or doctor. Please travel with your yellow fever certificate as you may be asked to present this at the airport.
Do I need to carry travel insurance?
Yes, as part of our terms and conditions for the hosting program, we ask that you take out travel insurance cover and provide proof of cover before travel.
Is it safe to travel in Tanzania?
Although Tanzania is rated as one of the safest countries in Africa, please be aware of pickpockets on streets, public transport, tourist attractions, and gatherings, as well as on the fairground. Lock your valuables in the hotel safe and carry little cash money. Keep smartphones & laptops under close supervision.
Cash ATM Machines and currency
Our Bank sponsors will be present at the fairground and does provide an ATM machine for cash withdrawal as well as a currency exchange facility.
